Primary And Subordinate Accounts

Primary/subordinate functionality is intended for employers who have two or more accounts, and need the ability for one account to view and manage another account’s job orders; for example, employers with both a main office or company headquarters and franchise or satellite locations. Employer accounts must share the same Federal Employer Identification Number (FEIN) to be linked as primary/subordinate accounts.

Primary/subordinate functionality can also be used by job center staff as an organizational tool to link associated accounts. However, the main benefit is for self-service employers in that Primary accounts have the ability to view and manage the job orders and company information of all subordinates.

Setting primary/subordinate status works from the bottom up. This means that an employer account can subordinate itself to another account, thus granting the other account primary status. An account cannot assume primary status by subordinating another account. By default, a new employer account is NOT subordinated to any other account. Subordinate status must be added after account creation. If two accounts representing the same employer are not linked through a primary/subordinate relationship, the job orders entered for one will not be visible to the other.

Navigation

Bring the employer into context by conducting an Employer Search or selecting the employer from My Employers. Use the employer context menu to navigate to Employer Details, then click Primary/Subordinate Accounts on the Employer Details page.

View/Edit/Delete Primary/Subordinate Accounts

  1. Navigate to Primary/Subordinate Accounts. If a primary/subordinate account exists, the Primary/Subordinate Accounts details for [Company] page displays.
    1. When the primary employer is logged in, they can view any subordinate accounts.
    2. When the subordinate employer is logged in, they can view the primary account.
  2. The primary employer can view or edit the subordinate’s company information by clicking the subordinate’s company name link.
    1. They can view and manage the subordinate’s job orders by clicking the Self Service Jobs link. The primary employer can also post a new job order on behalf of the subordinate employer.
  3. The subordinate employer can see a view only version of the primary employer’s company information by clicking the company name link. The subordinate employer cannot view the primary employer’s job orders, or any other parts of the primary employer record. However, the subordinate employer can view and edit all parts of their own record, including their own company information, job orders, and job orders created on their behalf by the primary employer.
  4. Only job center staff or the subordinate employer can delete subordinate status. The primary employer cannot delete subordinate status for its subordinates. To delete subordinate status, the subordinate employer or staff member can click the Remove Subordinate Status button. The subordinate employer does not need to provide the primary employer’s username to complete this action.
  5. A confirmation page displays. To proceed, click Proceed.
  6. To return to the Primary/Subordinate Status Screen, click Return.

Add Subordinate Account

  1. Navigate to Primary/Subordinate Accounts. Any employer accounts with the same FEIN display on the Primary/Subordinate Accounts details for [Company] page.
    1. The employer must have a valid FEIN to select primary and subordinate accounts. If the employer does not have a valid FEIN, a warning message will display with the option to Return to Employer Details.
    2. An account may not be subordinated to more than one account, and a primary account cannot be subordinated to another account.
  2. Select the employer to which you want to subordinate this account and click Make Subordinate. The Primary/Subordinate Accounts details page displays. To view the primary account’s Employer Details page, click the link.
    1. If the employer is subordinating itself, it must provide the username of the primary account owner during this step.
